Admin Assistant/Project Coordinator, Indianapolis, IN

12+ Month Contract via Kelly Services

This role is the critical link between our regional and global stakeholders, external customers, third-party business partners, and Supply Chain to create legally compliant labels which apply to all products produced and shipped in North America. This includes all labels for the United States and Canada, whether an imported or exported material or private label (sub-registration) product.

Job Responsibilities

  • Accountable for researching and assimilating required information to ensure artwork and printed components fully comply with all applicable regulatory, transportation (DOT, IMDG, IATA), legal, manufacturing, trademark, global branding, and supply chain requirements. Identifies potential risks and opportunities that arise during project completion, is responsible to perform root cause analysis, and implement the corrective action plan.

  • Accountable for final review and approval of artwork released to pre-press and printed component suppliers.

  • Serves as subject matter expert for information relating to artwork requirements for all products produced in and subsequently shipped within, exported from, or imported to North America.

  • Integral team member on Modify and Improve Supply Chain projects providing guidance and expertise relating to artwork design, global branding requirements, project timelines, and artwork processes.

  • Obtains print requirements from production sites, package and label suppliers, package engineers, and purchasing to independently create or identify the appropriate printed specifications. Creates and applies appropriate artwork standards based on project requirements.

  • Interfaces with the pre-press and printed component suppliers to ensure project timelines are met. Manages the artwork process to ensure projects are completed by the lead time required to meet manufacturing dates as indicated in SAP.

  • Serves as subject matter export to 30+ global artwork coordinators in more than 53 importing countries providing leadership and direction on artwork design and requirements for North American exported products. Interacts directly with external customers to complete private label projects.

  • Utilizes SAP to determine inventory level of printed components. Reviews production schedules to facilitate prioritization of artwork development and project timelines.

  • Responsible for the creation, review, and maintenance of business rules and work processes to implement change and support continuous improvement within the client and with external business partners (pre-press and printed component suppliers).

Approximately 40% of this role is spent on project leadership or project management.

  • Attention to detail: Learn quickly and understand the details necessary to comply with legal, regulatory, hazmat and supply chain requirements. Work independently and accurately on each project and artwork job.

  • Accountability: Establish a work plan and overcome any obstacles to complete. Demonstrate initiative and a high capability for individual work. Takes individual ownership of artwork jobs.

  • Minimum of 2 years’ previous work experience for the client or one of its subsidiaries or 5+ years’ previous work experience in a corporate environment

  • Must be detail oriented and have a critical eye to detect copy differences (e.g., text, logos)

  • Ability to work with minimal supervision

  • Strong teamwork and customer service mentality

  • Strong project management and time management skills

  • Proficiency in SAP and Microsoft Office (Outlook, Word, Excel, PowerPoint and SharePoint)

  • Previous work experience in Project Management, Operations, Supply Chain, Regulatory or Commercial, Pre-Press Printing is preferable

  • Bachelor’s degree in Supply Chain, Business, or Marketing from an accredited university is preferable
